The Administrative Associate plays a key role in supporting daily business operations, maintaining organizational systems, coordinating vendors and office resources, and ensuring administrative processes run smoothly.

Position Summary


The Administrative Associate is responsible for overseeing and coordinating the daytoday administrative operations of the company to ensure efficient, organized, and compliant business operations. This role serves as the central point of contact for office administration, document and record management, vendor and policy renewals, and internal coordination.

This position is ideal for a highly organized, proactive professional who enjoys managing details, anticipating needs, and improving processes in a small, collaborative environment. This position is fully onsite and reports to the CEO.

 

Key Responsibilities:
 

Office & Administrative Management

  • Serve as the primary administrator for day‑to‑day office operations
  • Maintain and organize company records, files, and documentation (digital and physical)
  • Establish and maintain consistent administrative processes and procedures
  • Manage general office communications, correspondence, and scheduling as needed
  • Assist with bookkeeping activities to include data entry, expense tracking, and reporting
  • Monitor and maintain office supplies, subscriptions, and shared resources
  • Point person for in-coming/out-going mail and deliveries

Executive and Team Support

  • Independently manage recurring operational responsibilities, coordination activities, and administrative priorities that enable executive and team effectiveness
  • Prepare draft correspondence, summaries, or documentation for executive review
  • Support internal coordination across the team, including scheduling and logistics

Policies, Renewals & Compliance Support

  • Track and coordinate renewal timelines for company policies, agreements, and services (e.g., insurance policies, service contracts, licenses)
  • Proactively reach out to vendors, brokers, and service providers as renewals approach
  • Maintain organized records of current agreements, expiration dates, and key terms
  • Assist with updates to standard agreements, templates, and internal documentation in coordination with leadership and external advisors
  • Support compliance tracking related to business operations

Vendor & Service Coordination

  • Act as the primary point of contact for office-related vendors and service providers (e.g., insurance brokers, IT support, office services)
  • Maintain vendor contact information, contracts, and documentation

 

Qualifications

  • High school diploma or equivalent
  • 2 years of experience supporting executive leadership
  • Strong organizational, communication and time-management skills
  • Proficiency with Microsoft Office including Word, Excel, Outlook, and Power Point
  • Experience working with Click Up project management software preferred
  • Ability to manage multiple responsibilities and prioritize work independently

The Position Offers:
