Representative Payee Programs Coordinator:
As the Representative Payee Programs Coordinator, you’ll support clients with their Social Security (SS) and Supplemental Security Income (SSI) under the supervision of the Director of Legal Services.


A Typical Day May Look Like This:

Payee Account Administration

  • Track approval letter from Social Security Administration appointing FMDT as Representative Payee.
  • Create new client files in the Representative Payee Tracker; maintain current enrollment spreadsheet; create physical files; maintain digital and physical filing system.
  • Complete forms SSA 1696 and SSA-11-BK, including coordinating signatures; travel to the local Social Security Administration office to have forms date-stamped.
  • Obtain bills from clients and establish monthly budgets; verify bills are within clients’ existing budgets, or within approved adjusted budgets; ensure timely bill payments; document bill payments in Representative Payee Tracker, QuickBooks, monthly spreadsheet, and Positive Pay.
  • Collaborate with FMDT’s Trust Administration team as needed to ensure clients’ personal spending and special request payments align with clients’ trust documents.
  • Make approved purchases for clients and coordinate with vendors for payment; collaborate with FMDT colleagues and vendors to ensure client requests are fulfilled.
  • Maintain and organize clients’ benefit records, ensuring that all records are up to date and maintained according to funding programs’ standards; collect and organize documents that may be required for external audits of representative payee accounts.
  • Reconcile transaction registers at least monthly or more frequently, as required by funding agencies.
  • Report any suspected misuse of funds or property, as required by applicable funding agencies’ policies and procedures.
  • Assist Trust Administrators with managing client bank accounts; process and distribute weekly disbursements.
  • Assist Trust Administrators with benefit applications and re-determinations.
  • Coordinate with Maryland Department of Health and Mental Hygiene and FMDT’s Chief Executive Officer to close out files and distribute final disbursements for deceased beneficiaries.

General Office Duties

  • Assist with routine office tasks, as needed, including answering office phone lines and following up as necessary with callers; copying/scanning documents; drafting and mailing correspondence; sorting incoming mail.
  • Respond to client calls, mail and emails. Respond to Trust Administrative emails regarding paying bills and any other questions they may have.
  • Scan and save all client related mail that is received.

What We're Looking For:

  • 1-2 years' related work experience
  • Exceptional interpersonal skills to cultivate and maintain positive and productive relationships with trust beneficiaries and their families and advocates
  • Excellent verbal and written communication skills
  • Strong organizational and planning skills and attention to detail, with ability to anticipate, initiate, and advance multiple priorities and projects concurrently
  • Commitment to our mission to serve the disability community
  • Strong organizational, time management, analytical, and problem-solving skills
  • Intermediate proficiency with Excel, Outlook, and Word

It’d Be Great If You Have:

  • Experience with representative payee programs work, interacting with the Social Security Administration and directly with representative payee programs clients
  • Administrative experience in a representative payee programs role, financial services, or banking industry
  • Experience with trust administration software/technology tools or customer relationship management technology/tools

This Position Offers:

  • Annual starting salary range of $50,000 to $55,000 commensurate with experience
