Accounting and Operations Associate

We’re looking for an Accounting and Operations Associate who will help keep our accounting function running smoothly. This is a “roll up your sleeves” accounting and operations position where you can make a significant impact on Live Baltimore’s support of Baltimore City. Working closely with the Director of Operations, the Accounting and Operations Associate will handle the day-to-day functions of accounting and payroll, as well as collaborate on strategic projects that will help us meet our organizational goals. Key Priorities and Responsibilities:

Accounting:

  • Streamlines accounting operations, including upgrading and maximizing Live Baltimore's use of QuickBooks.
  • Performs and/or assists in basic accounting research.
  • Prepares and/or assists in preparing financial analyses, financial reports and statistics.
  • Completes routine accounting assignments, including accounts payable, accounts receivable, monthly reconciliations, etc.
  • Ensures that comprehensive accounting records are maintained in an organized manner.
  • Assists with grants accounting.
  • Supports annual budgeting process.
  • Assesses internal systems and recommends changes that would allow greater efficiency in monthly processing.
  • Helps the Executive Director and Director of Operations prepare monthly budget reports and the year-end audit package.

HR and Payroll Administration:

  • Processes bi-weekly payroll using payroll software.
  • Ensures garnishments, taxes, and other withholdings are properly deducted and reported.
  • Conducts semi-monthly payroll audit to ensure proper payments and deductions.
  • Coordinates open enrollment for benefits, in collaboration with benefit brokers.

Facilities & Operations Management:

  • Serves as point-of-contact for various building vendors (cleaning company, landlord, alarm system, copier, phone system, etc.)
  • Orders and replenishes office supplies.
  • Opens and processes daily mail and distributes to appropriate staff members.
  • Maintains mailing lists for Live Baltimore mailings.
  • Maintains inventory lists of office assets.

Technology Support:

  • Maintains passwords for various systems and accounts.
  • Troubleshoots basic tech issues (hardware or software).
  • Contacts I.T. vendor for advanced technology troubleshooting problems.
  • Manages documents on the internal and cloud servers.
  • Serves as the Microsoft and Apple Business Manager administrator.

Event Support:

  • Provides support at Live Baltimore events, filling a variety of roles.
  • Assists in planning event programming and content.

Is this You?:

  • Associate’s degree in accounting, finance, or business administration (or an equivalent combination of education and experience).
  • 2-3+ years of progressively responsible experience and proven success in finance, accounting, and team collaboration.
  • Knowledge of accounting, including accounts payable and accounts receivable.
  • Outstanding oral and written communication skills.
  • Customer service and goal-oriented, solutions mindset, and the ability to interact positively and professionally with fellow team members.
  • Software proficiency, including but not limited to:
    • Intermediate proficiency with an enterprise resource planning (ERP) system, Salesforce preferred.
    • Strong proficiency in MS Office applications (Word, Excel, PowerPoint, and Outlook).
    • Strong proficiency with QuickBooks or similar accounting software.
  • Ability to work in a fast-paced environment, with excellent time management skills and attention to detail.
  • Ability to maintain confidential and meticulous records.
  • Strong organizational and planning skills with attention to detail and ability to multi-task, while staying ahead and on-track with work assignments.
  • Ability to work on your own, think things through, and make decisions with minimal supervision and work collaboratively with a team.
  • Excellent analytical skills, with the ability to follow established workflows and procedures.
  • Punctual, reliable, mature, and trustworthy.
  • Flexibility to work occasional evening events and 3 Saturday events per year.
  • Must be able to stand for long periods of time and lift/carry items weighing up to 25 pounds on a regular basis

  • RESIDENCY REQUIREMENT: You must reside in Baltimore City at time of application and throughout employment!
  • NOTE: You must not possess any form of active real estate license at time of application and throughout employment!

Total Compensation Package:

  • Annual starting salary, commensurate with experience: $56,000-$62,000
