The Administrative Assistant to the Trust Team:

As the Administrative Assistant to the Trust Team, you’ll support the Director of Legal Services and two Trust Administrators who manage trusts for individuals with disabilities throughout Maryland. The team will rely on you to handle the day-to-day tasks that keep the department running smoothly and allow the Director of Legal Services and Trust Administrators to focus on directly serving our clients.


A Typical Day May Look Like This:

Trust Administration Assistance

  • Create new files in trust management system; maintain current enrollment spreadsheet; create physical files; maintain digital and physical filing system; save and record all incoming investment statements and mailings for Trust clients. 
  • Make purchases for beneficiaries/coordinate with vendors for payment; collaborate with other office staff and vendors to ensure client requests are fulfilled. 
  • Serve as liaison between Trust Administrators and clients by sending prepaid/debit cards and instructions to clients; answering calls and emails for the Director of Legal Services and Trust Administrators; taking messages; and assisting clients and their families with requests.
  • Screen and schedule meetings with prospective Trust clients.
  • Schedule client meetings and prepare/gather necessary meeting documents for the Director of Legal Services and Trust Administrators.
  • Assist Trust Administrators with client onboarding, including preparing client packets; managing client bank accounts (including ordering checks); tax preparation; process and distribute weekly disbursements.
  • Prepare and send quarterly statements to assigned Trust Clients.
  • Manage deposits to and disbursements from Guardianship accounts; issue checks; record transactions in Trust administration system.
  • Coordinate with the Department of Health and staff to close out files and distribute final disbursements for deceased beneficiaries.

General Office Duties

  • Assist with routine office tasks, as needed, including greeting visitors; answering office phone lines and following up as necessary with callers; copying/scanning documents; drafting and mailing correspondence; and sorting and distributing incoming mail.
  • Prepare and distribute mass mailings (quarterly statements, end-of-year statements, holiday cards).
  • Assist with the orientation of newly hired staff.

What We're Looking For:

  • 3-5 years' experience in an administrative role in the financial services or banking industry
  • Exceptional interpersonal skills to cultivate and maintain positive and productive relationships with trust beneficiaries and their families and advocates
  • Excellent verbal and written communication skills
  • Strong organizational and planning skills and attention to detail, with ability to anticipate, initiate, and advance multiple priorities and projects concurrently
  • Commitment to our mission to serve the disability community
  • Strong organizational, time management, analytical, and problem-solving skills
  • Experience with customer relationship management technology/tools
  • Intermediate proficiency with Excel, Outlook, and Word

This Position Offers:

  • Annual starting salary range of $55,000-$62,000 commensurate with experience
