Position Summary

The  Administrative Assistant is a part time position that supports the staff in day to day operations of the organization. Reporting to the Operations Manager, this position’s primary responsibility is reception, training and membership support. The position will also require other duties that may not be listed below to be performed as requested by the Operations Managers.

 

Responsibilities:

 

Reception

· Answer general phone inquiries using a professional and courteous manner.

· Direct phone and email inquiries to the appropriate staff members.

· Reply to general and training information requests with the accurate information.

· Greet clients/suppliers/visitors to the organization in a professional and friendly manner.

 

Office Administration

· Filing and organization.

· Use computer word processing, spreadsheet, database software and other programs to prepare documents.

· Prepare and send outgoing faxes, mail, and courier parcels.

· Sort and distribute incoming mail.

· Store office supplies in the appropriate location.

· File material according to the established procedures.

· Create and distribute membership documents.

· Provide administrative support to management and other staff.

· Proofread communications as needed.

· Aid in the management of accounts receivable.

 

Program Support

· Process training program documents.

· Aide in the preparation for onsite training and meetings.

· Respond to certified individual’s requests in a timely manner.

· Maintain accurate data.

 

Minimum Qualifications, Knowledge, Skills, and Abilities:

  • Degree Requirement: Bachelor's Degree in Business Administration or related field. May substitute equivalent combination of education and experience.
  • Years of Experience: 2+ years in office support or related administrative roles.
  • Proficiency Level Required with MS Office Products: basic.

This job operates in a professional office environment.   • Flexibility related to work hours as project demands arise.
  • Occasionally required to move 5 – 40 pounds.
  • Must be able to remain in a stationary computer position for extended periods of time.
  • Must be able to use hands and fingers to type.
  • Must be able to reach with hands and arms for using a computer.

Travel Requirements:

Some travel may be required, up to 10% of the time. The travel may be local or national and may be by car, rail, or air.
