MISSION
The mission of the American Board of Periodontology is to advance the art and science of periodontics and elevate the quality of periodontal care through the examination, certification, and recertification of periodontists and by encouraging the achievement and maintenance of Diplomate status.

POSITION SUMMARY
This position assists the Executive Director and Board of Directors with strategic planning and coordination of the organization’s programs, projects, and policy positions. Serving as second in command, responsible for overseeing the core daily functions of the American Board of Periodontology,  including development, implementation, and monitoring of American Board of Periodontology’s program services to its members. This person will work with key stakeholders and vendors to effectively deliver these services. This person will plan and direct meeting and event coordination, exam management and scheduling, and records reporting and publications. Establishes budgets, staffing plans, and resource allocation within departments.

RESPONSIBILITIES
Leadership and Management
  • Directs and supervises the daily operation of American Board of Periodontology support staff.
  • Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws.
  • Recruits, interviews, hires, trains and mentors employees.
  • Plans, assigns, and directs work.
  • Appraises performance, recommends compensation changes, rewards, coaches, and conducts performance improvement as necessary. Addresses complaints and resolves problems.
  • Administers and manages policies for the continuous improvement of the American Board of Periodontology operations.
Financial Management
  • In consultation with Executive Director and Board of Directors, formulates annual operating budget.
  • Maintains all financial records, including Board bank account(s) and daily recording of deposits (i.e. annual registration fees, exam application fees, etc.).
  • Oversees expense management including payment, employee payroll, reviewing and administering Board of Directors’ expense account reimbursement.
  • Coordinates and provides records to external accountant/CPA.
  • Records Hoag Fund contributions and coordinates with broker.
  • Logs contributions made to Gerald M. Bowers Endowment Fund and forwards contributions to American Academy of Periodontology Foundation.
  • Manages insurance policies as directed by the Board.
Meeting and Event Coordination
  • Organizes and attends meetings, workshops, exam sessions, and social functions with approval by Executive Director.
  • Identifies and secures venue locations, negotiates contracts, and manages all logistics, including lodging, meeting space, set up, food and beverage, etc.
  • Formulates schedules and agendas following review and approval by Executive Director, and distributes to attendees.
  • Attends Board meetings and records minutes for approval by Executive Director. Maintains minutes for all meetings and workshops and distributes to Board of Directors.
  • Reviews, authorizes, and submits payment for all meeting expenses.
Exam Management and Scheduling
  • Assists Executive Director with scheduling and administration of annual exam.
  • Assists Executive Director with selecting Examiners to serve with Directors at the annual exam session.
  • Reviews candidates with examiners for possible disqualification.
  • Formulates exam schedule with Executive Director.
  • Corresponds with all attendees regarding logistics, exam preparation, and administration.
  • Submits recommendations and implements necessary changes (with approval of Executive Director and or Board of Directors) in publications of the Board including: webpage, Guidelines for Certification, Bylaws, Policy Manual, and forms such as: applications, attestation and credentialing forms, and exam grading.
  • Schedules, attends, and records minutes of teleconference calls to discuss exam analysis, candidate appeals, candidate/Diplomate credential issues, Board policies, etc.
  • Responds to candidates who have failed Board examinations and have requested telephone conference with Executive Director. Provides Executive Director with materials to review exam performance with candidates.
Records, Reporting and Publications
  • Prepares and provided reports throughout the year, including: Report to American Academy of Periodontology Board of Trustees, Treasurers’ Reports, Annual Report of National Certifying Boards for Special Areas of Dental Practice, Report to American Academy of Periodontology General Assembly of the Academy, and Pre-Post Doctoral Directors.
  • Files annual reports as may be required by applicable regulatory authorities.
  • Completes Annual Report of Recognized Specialty Board (Periodontology) for review by Executive Director and submits to the Commission on Dental Education.
  • Drafts and submits for review by Executive Director quarterly articles for the American Academy of Periodontology to publish in Academy newsletter.
  • Maintains historical records and updates Policies and Procedures and Bylaws Manuals as directed by the Board of Directors and Executive Director.
  • Assist Executive Director in formulating annual reports to Diplomates.
PREFERRED QUALIFICATIONS, SKILLS, KNOWLEDGE AND ABILITIES
  • Bachelor’s degree or Associate’s in business or public administration, management, or a related field and at least 5-10 years of experience non-profit management experience, with a minimum of five (5) years reporting directly to an Executive Director in an operational, finance or programmatic role and supervising staff. Comparable work experience may be substituted for a degree.
  • Proven ability to be effective and thrive in a fast-paced environment, working with a non-profit Board of Directors, and in developing effective successful relationships with all stakeholders.
  • Excellent written, oral, and interpersonal communication skills.
  • Strong problem resolution and negotiation abilities with a strong focus on detail orientation and follow-through.
  • Well-developed organizational and time management skills.
  • Knowledge of human resources processes and operations.
  • Knowledge of budget formulation and financial management.
  • High proficiency in MS Office, including Word, Excel, PowerPoint, Access, and Outlook; Adobe;
  • High proficiency with QuickBooks.  
  • Ability to travel up to 10% percent of the time, as required.
  • Work involves national travel to meetings, conferences, exam locations, which may require long periods of walking and standing.
